CEYLONAA HOLIDAYS is an SLTDA‑licensed, government‑registered Destination Management Company (DMC) based in Colombo, Sri Lanka . These Terms & Conditions outline the agreement between you (the Client) and Ceylonaa Holidays Pvt Ltd (the Company). By confirming a booking with us, you acknowledge and accept the following terms.
1. Booking & Confirmation
Your bespoke holiday is considered confirmed once we receive:
Written Acceptance: Confirmation of the itinerary via email or official messaging.
Deposit: A non-refundable deposit (typically 30% of the total tour cost, unless otherwise specified for peak season boutique hotels).
Final Balance: Must be settled 30 days prior to your arrival.
Note: Bookings made within 30 days of travel require full payment at the time of confirmation. Prices are only guaranteed once full payment is received, as third-party suppliers (airlines/hotels) may adjust rates.
2. Payment Methods
We accept payments through:
Bank Transfer (SWIFT/Wire)
Important: All bank charges, intermediary fees, or currency conversion costs must be borne by the Client.
3. Cancellation Policy
We understand that plans can change. Cancellations must be submitted in writing. The following charges apply:
90 days or more prior to arrival: Only the non-refundable deposit/admin fee.
60 to 89 days prior to arrival: 25% of the total tour cost.
30 to 59 days prior to arrival: 50% of the total tour cost.
Less than 30 days prior to arrival: 100% of the total tour cost (No refund).
Peak Season Exception: Certain boutique hotels and train/flight tickets are non-refundable during peak periods. These will be charged in full regardless of the cancellation date.
4. Amendments to Your Journey
By the Client: To provide you with a stress-free experience, the first amendment to your itinerary is complimentary. Subsequent changes may incur a service fee of $25 plus any revised hotel/supplier costs.
By the Company: In rare cases of Force Majeure (weather, safety, or political instability), we may adjust your itinerary. We promise to provide alternative arrangements of equivalent value.
5. Travel Insurance (Mandatory)
Comprehensive travel insurance is mandatory for all travelers with Ceylonaa Holidays. Your policy must cover medical expenses, personal accidents, emergency evacuation, and trip cancellation. The Company is not liable for costs arising from insufficient coverage.
6. Health, Safety & Chauffeur Protocol
Medical Disclosure: Clients must disclose any mobility limitations or severe allergies at the time of booking.
Professional Guidance: Our chauffeur-guides are SLTDA-licensed professionals. For your safety, their instructions must be followed during wildlife safaris, hikes, and water-based activities.
Conduct: We reserve the right to refuse service to any Client whose behavior endangers themselves, our staff, or the local community.
7. Passports & Visas
Passports must be valid for at least 6 months beyond your departure date.
Obtaining the ETA (Electronic Travel Authorization) is the Client’s responsibility. Visit https://eta.gov.lk/slvisa/ for official applications.
- The Company is not responsible for delays or losses arising from incorrect or incomplete travel documentation.
8. Limitation of Liability
Ceylonaa Holidays acts as a professional intermediary between the Client and third-party suppliers (hotels, airlines, activity operators). While we partner exclusively with reputable, vetted suppliers, we cannot be held liable for:
Acts or omissions of third-party providers.
Loss, injury, or damage to person or property.
Delays or changes beyond our direct control.
Our liability is strictly limited to the total value of the services directly provided by the Company.
9. Resolution of Issues
Your experience is our priority.
On-Tour Support: Notify your Ceylonaa Holidays representative or chauffeur immediately if you encounter any issues so we can resolve them on the spot.
Formal Feedback: If a matter remains unresolved, please submit it in writing within 14 days of your tour’s completion.
10. Governing Law
These Terms & Conditions are governed by the laws of the Democratic Socialist Republic of Sri Lanka. Any disputes shall fall under the exclusive jurisdiction of the Sri Lankan courts.
